Overview
The Project Document Controller plays a critical role in ensuring the effective management and organization of all project-related documentation. This position is responsible for maintaining accurate records, tracking revisions, and facilitating seamless document flow throughout the project lifecycle. This position will ensure timely and quality administrative support and ensure the integrity of project deliverables.

Responsibilities & Duties
- Document Management: Oversee the creation, distribution, and archiving of project documentation, including technical specifications, contracts, drawings, reports, correspondence, and other project-related documents. This includes control of the numbering, sorting, filing, storing and retrieval of electronic documents produced by technical teams.
- Managing Correspondence: Accurately and efficiently manage document transmittals to and from external parties while controlling the storage of all Project files and data.
- Version Control: Maintain an accurate and up-to-date version control system for all project documents, ensuring that the latest revisions are accessible to relevant stakeholders while older versions are securely archived.
- Quality Assurance: Perform regular quality checks on documents to ensure accuracy, completeness, and adherence to established standards and guidelines.
- Document Retrieval: Respond to internal and external requests for specific project documents promptly, efficiently retrieving and providing the required information.
- Distribution and Circulation: Coordinate the distribution of documents to the appropriate personnel and stakeholders, ensuring that information is disseminated efficiently and securely.
- Change Management: Track changes made to project documents, follow up on review comments and manage document approval processes, adhering to change management protocols.
- Compliance and Regulations: Stay updated with industry-specific regulations and compliance requirements, ensuring that project documents adhere to all necessary standards and guidelines.
- Document Security: Implement and maintain a robust document security system, safeguarding sensitive information and controlling access to confidential documents.
- Collaboration: Collaborate closely with project teams, engineers, contractors, and other stakeholders to streamline document workflows and resolve document-related issues promptly.
- Training and Support: Provide training and support to project team members on document management procedures, ensuring proper usage of document control systems.
- Reporting: Generate regular reports on document status, including progress updates, document review cycles, and distribution logs, for project managers and other relevant parties.
